Overclock IT Solutions is based in Melbourne, Australia. This policy explains what personal information we collect through this website, why we collect it, how we handle it and how you can contact us about it.
We have chosen to handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect and why
When you use the Start a project form. The answers you give (what best describes you, where you are based, what you need and a budget band), your name and work email, and, if you choose to add them, your company name, website address and a note. We use these to reply to your enquiry and to prepare for a first conversation with you. We don't use them for anything else.
When you chat with Eve. Eve is an automated assistant, not a person. We keep the text of your conversation so the team can read it and follow up on what you asked. If you give Eve your name and email so that we can contact you, we keep those with the conversation. Please don't type passwords, payment card details or other sensitive information into the chat. We don't need them and we don't want to hold them.
When you email us. Your email address, your name if you include it, and what you write.
Technical information. Our hosting provider and our own servers keep standard logs (IP address, browser type, pages requested and when) to keep the site secure and running. Our form and chat endpoints keep a short-lived count of requests per IP address to prevent abuse. That count is held in memory for a few minutes and is never stored.
Cookies, analytics and what we don't collect. We don't use cookies or advertising pixels, and we don't track you across other sites. We use Vercel Web Analytics, which counts page visits without cookies and without identifying you. The site keeps one setting in your browser so an animation doesn't replay, and it's cleared when you close the tab. We don't buy, sell or rent personal information. We don't collect information about children knowingly; this site is for businesses.
How Eve works
To answer you, the text you type into the chat is sent to a cloud AI service run by a third-party provider, which generates a reply and returns it. The provider may process that text on servers outside Australia. We send the provider the text of the conversation and a short note of which page you're on and, if you arrived from another site, that site's name. We don't send it your name, email or any other detail unless you type them into the chat.
Who we share it with
The Overclock IT team, to reply to you. Our service providers, only as needed to run this site: our website host, the servers that run our forms and automations, our email provider, our internal messaging tool where new enquiries are posted to the team, and the AI provider described above. We don't give your information to anyone else unless the law requires us to.
Where it is stored
Enquiries and chat transcripts are stored on servers we control in Malaysia and Singapore. Our website host, our email provider and the AI provider may store or process information outside Australia, including in the United States and China.
How long we keep it
We keep enquiries and chat transcripts for 24 months from our last contact with you, then delete them. If you become a client, we keep your contact details for the length of our work together and for 7 years afterwards, for tax and record-keeping. Server logs are kept for 30 days.
Your choices and rights
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email eve@overclockit.com.au. We'll acknowledge within two business days and act within 30 days. If you're unhappy with how we handle a request or a complaint, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
If you are in the United Kingdom, the European Union or another place with its own privacy law, you may have further rights under that law. Contact us and we'll help.
Security
All traffic to this site is encrypted. Your browser never talks directly to the servers that store enquiries. Access to those servers and to our team channels is limited to the team. No method is perfect, so please don't share sensitive information with us through the site.
Changes
If we change this policy we'll change the date at the top. For a material change we'll say so on this page for 30 days.
